Welcome to Round 4 of The Scent Librarian's Collective Purchase Program! We're excited to bring you a selection of beautiful holiday vessels from the original manufacturer, but please note that this round will be short to ensure timely delivery. Our goal is to have these vessels arrive by late October to early November.

Important Information:

• Limited Stock: Due to space constraints at our distribution center (aka my business partner's garage), stock for this round will be limited. We encourage you to place your orders early to secure your preferred vessels.
• Pre-Order Window: This round will close on August 5th at 11:59 PM. If we don't meet the minimum order quantity (MOQ) by this date, we may extend the round until August 8th. Please note that the longer we wait, the longer it will take for these vessels to arrive.
• Estimated Delivery: Vessels are expected to arrive between late October and early November, however this depends on when we sell-out.
• Payment and Shipping: We offer a partial payment plan so that not all your money is tied up in vessels that you are waiting for. Select the "partial payment" option if you want to take advantage of this service. Final payment will be due when I receive notification that our vessels have cleared US customs. Shipping costs will be calculated based on the final weight and destination of your order. We will send out invoices for any additional shipping charges once the vessels arrive and are ready to be dispatched to you.

About Previous Rounds

You can still purchase overstock vessels from Rounds 1-3. These extra vessels are what The Scent Librarian purchased to help meet the Minimum Order Quantity to make production possible at the factory. Please look for the green PreOrder tag on the image of the listing to distinguish what is in stock and what will take 2-3 months for production and shipping.

Round 5 will be Valentine's day vessels that we order the end of August for delivery in December. I know it feels early to plan for that, but I want to make sure you get your vessels in time for testing and producing your candles. You also need time to list your vessels, so really, this is when you should be planning for February 14th. Round 3 Details 

Matte Gemstones Collection will be refunded as they did not meet their MOQ. I plan to bring these back for Round 5. I recommend ordering the gloss holiday vessels if you liked the Matte Gemstones. Sorry I couldn't make those happen in Round 3!

Special Buys must meet a minimum order quantity (MOQ) of 2,000 for the vessel design to be manufactured. In the event that the MOQ is not met, customers will receive a full refund.

Round 2: Richard Parker Novelty Print

Embark on a sea of imagination with the Richard Parker Novelty Print. Inspired by the *Life of Pi*, this hand-blown glass features a striped pattern reminiscent of a majestic tiger.

Unique Vessels Return:

Special Buys will rotate through the rounds, ensuring these unique vessels make a comeback. Stock up now if they are your favorites.

Order Processing:

After the round closes, The Scent Librarian places the bulk order with the manufacturer in China. The factory then takes 30-60 business days to produce the vessels. Then they are loaded into a shipping container and transported by sea on a cargo ship, taking 45-60 days to arrive to TSL. The Scent Librarian team checks vessels for quality then sorts and distributes to you. 

Payment Policy

Full Payment Option:

Full payment at the time of ordering is available for those who prefer this option. However we now offer partial payment option. Select “PreOrder” in the item drop down box if you want to pay-in-full now. Unfortunately I cannot change the text in the drop-down to clarify this.

Partial Payment Option:

In acknowledgment of current economic challenges, we are offering a partial payment plan.

Pay 60% of the total cost now, securing your order.
The remaining 40% will be due by the delivery day, August 21 for Round 3.

When adding items to your cart, you must select “Partial Percentage” to setup this payment plan.

Volume discounts and coupons are no longer available as we have lowered prices. However, you can buy vessels at cost if you volunteer to enter fragrance oil information into The Scent Librarian Fragrance Database. Sign-up to volunteer here.

Shipping fees cannot be divided among the payments. They will be added to your second payment instead.

Those who fail to make their second payment by the specified date will be issued a refund, less a 20% restocking fee.

If, for any reason, a specific color or pattern doesn't meet its minimum order quantity, you have options. Choose between a full refund, exchange for a different vessel, or hold for the next round.

Frequently Asked Questions

What do you mean by “Collective Purchase”?
Our collective purchase process involves collating purchases from multiple group members as a way to buy items in bulk for a volume discount, with The Scent Librarian, Kelly Stanchfield, facilitating the order.

Here's how it works: Group members prepay for their selected candle vessels, which are sourced from a manufacturer in China. Instead of individually purchasing large quantities of a single style or color, participants have the opportunity to contribute to a collective order, allowing for a diverse selection of vessel styles.

Once all orders are received, Kelly totals the items and places the order with the manufacturer. This collaborative approach ensures that each participant can enjoy a variety of vessel styles without the need to purchase large quantities of a single item. As the contact person for the order, Kelly is responsible for coordinating with the manufacturer, handling the shipment, and redistributing the vessels to each participant once they arrive.

Can you explain the Minimum Order Quantity (MOQ)?
Each vessel has its own MOQ that the factory sets in order for it to be worth it for them to produce the order. We will meet the MOQ as a group. MOQ is not your personal number of items ordered.

Do I have to buy 300 of each item that I order?
No. We meet the minimum order quantity as a group.

What happens if I order something that doesn't meet it's MOQ?
In the event the items you ordered do not meet their MOQ, The Scent Librarian (TSL) will notify you via email. You can then choose from these options what you would like to do:

1. receive a full refund
2. hold your order for the next round
3. modify your order to items that have met their MOQ

What happens if an item doesn't meet its MOQ?
For rounds 3 and 4, if an item is 75% towards meeting its MOQ, The Scent Librarian will buy the remaining number of items in that colorway to make production possible. These items will then be sold as available stock, shipping within 2-3 business days.

Why does it take 2-3 months for my vessels to arrive?
Once The Scent Librarian places the bulk order for vessels, the manufacturer has 30-60 business days to produce the items and package them for transport via a cargo ship from China. Sea freight takes 45-60 days for its journey to a port in the USA. The cargo must then go through customs and be loaded onto a truck and delivered to TSL facilities for distribution to you.

Does The Scent Librarian plan to carry these vessels long-term, or are you just using this to fundraise for the fragrance database?
TSL has always intended to be a candle and soap supplier, though it was slated for phase 3 of our development. Not only are we committed to carrying these for the long haul, The Scent Librarian is currently curating a collection of vessels handmade by American ceramics and glass artists to be added to the store in the near future.

Will TSL be adding fragrance oils, wax and wicks to the store?
Once we can afford the warehouse space for stocking more supplies, we do plan to stock some wax, wicks and other supplies that we use to make our wholesale candles. We aren't interested in being a traditional supplier, as we are more interested in developing educational resources, scent training kits and more. We do not have plans to sell fragrance oils in bulk, but we will instead offer samples via our subscription box, Scent Librarian Monthly, as well as in educational kits that will teach you specific skills to help you grow as a maker, designed by TSL. In the future, we hope to be a distribution center for fragrance samplers from all your favorite fragrance suppliers.

What is the fragrance database TSL is developing?
The fragrance database being developed by The Scent Librarian is essentially a comprehensive resource tailored to the needs of candle and soap makers, as well as self-taught perfumers. Imagine it as your ultimate search engine dedicated solely to fragrances, but with added features like reviews and crowdsourced data.

At its core, this database serves as a meticulously organized library of fragrance oils, designed to assist you in every step of your crafting journey. It's your one-stop destination for discovering the perfect scents, understanding their performance in soap and candles, and curating a well-rounded collection without breaking the bank.

But it doesn't stop there.
